Data Entry Volunteer

The group aims to display, record and conserve the 1,000s of items at the Welsh Guards Collection, Oswestry (The Museum of the Welsh Guards) for the Welsh Guards Charity

You will liaise with the Curator.

The role involves creating a new database for our catalogue.

The museum has an old fashioned catalogue on Excel that needs updating to Modes (Museum catalogue sysytem).

The museum requires someone to create a new catalogue of our 4,000+ items.

What skills do I need?

Tasks and responsibilities may include any of the following:

    • Understanding Modes, a Museum catalogue programme (training via National Army Museum)

    • Entry of all collection items in a new catalogue from old programme data and on site store (digital and physical)

    • Liaising with Curator on all items and other museum staff as necessary

    • reporting any issues and looking for solutions

Additional Responsibilities:

    • Understand the importance of the groups Health & Safety procedures.

    • Understand the importance of confidentiality & safeguarding vulnerable children/and or adults. 

    • Be aware of the standards set by The Welsh Guards Collection and the need to work to these standards at all times.

Skills:

    • A certain degree of physical fitness is needed. 

    • The Data Collection Volunteer works as part of a team. 

    • The Data Collection volunteer should be reliable and arrive to help on the dates and times agreed.

Training:

    • Every volunteer will receive our mandatory training and a health and safety briefing for site working.

    • Every volunteer will have access & be signposted to training which the group feels is appropriate for the role.

    • Every volunteer will be trained in all the tasks they are required to carry out to ensure they have the skills and confidence to fulfil their role.

    • No volunteer will be expected to carry out their duties unsupervised until they are confident and skilled in these duties. 

    • All volunteers will be supported by David Martin (Curator) and their skills and contribution to the group will be reviewed on a regular basis.

Additional information:

    • Volunteers are covered by Welsh Guards Collection public liability and personal accident insurance while working with us.

    • Volunteers have to be 21 or over. There is no upper age limit.

    • Session Volunteers aged 18 or over or who have left school are required to complete a DBS check as they are working with vulnerable adults and children.
