Reception Volunteer

As a receptionist at The Beehive, you will meet and greet visitors to the building in a nonjudgmental friendly and professional manner.
Providing members of the public with information about organisations based in The Beehive and signposting to other organisations.
Calling the internal organisations via our telephone switchboard to inform them of visitors arriving for appointments.
Accurately recording and emailing telephone messages to CVS staff and Beehive organisation staff.
Operating the barrier and backdoor entry systems to let people in to the car park and building and ensuring that people with cars in the car park sign in with their registration number when arriving at reception.
Dealing with visitors that have a room booking, ensuring that they sign in and showing them to their room and locking it after use.
Viewing a computer based room booking system, to be able to see which rooms are booked out for the day and to be prepared to take the lead person to the appropriate location within the building. Guidance/training will be given on this.
Assisting with room set up for hirers
Ensuring the notice board is up to date, tidy and relevant.
To support with the food pantry, by stocking shelves, rotating stock and communicating with the public re the stock
To organise and tidy the book table
The sorting out of the post in to relevant organisation pigeon holes
Some ad hoc admin work
What skills do I need?
Computer skills are a must as you will be using Microsoft Outlook for emails plus Excel & Word.
The ability to stay calm in sometimes difficult circumstances and to remain professional under pressure.
Telephone/switchboard experience (not essential) as training will be offered.
Ability to communicate clearly and effectively with all members of the general public and organisational staff who use the Beehive for their needs.

Reception is manned five days a week by volunteers and the shifts are 9am till 1pm or 1pm till 4pm Monday to Friday.
We are particularly interested in volunteers who can attend Friday's, 9am to 1pm or 1pm to 4pm
